Managing vehicle assignments, availability & statuses in Muto

Everything you need to know about managing your fleet overview in Muto

Seeing which car is assigned to whom (and which are available)

In the Asset overview (e.g. Personal Cars), every vehicle displays its current assignee. Whether that's an employee, a location, or a cost center. To quickly find available vehicles, you can use the assignment status filter at the top of the overview. This lets you filter by:

  • Unassigned: vehicles not currently linked to any employee (i.e. available/parking vehicles)

  • Assigned to employee: vehicles actively in use by a specific person

  • Assigned to location: vehicles assigned to a site or cost center (e.g. pool cars at a specific office)

So when a new employee joins and you need to find an available car, simply filter on "Unassigned" to see all vehicles that are currently free to assign.

Vehicle statuses: Ordered vs. Active

Instead of custom color-coded statuses, Muto works with structured lifecycle statuses that you can filter on directly in the asset overview:

  • Ordered: the vehicle has been ordered but is not yet delivered

  • Active: the vehicle has been delivered and is in use

  • Archived: the vehicle is no longer part of the active fleet

You can toggle between these using the status filter tabs (All / In Use / Ordered / Archived) in the asset overview to quickly see, for example, only your ordered fleet.

"Ordered for" and "As replacement of"

To track who an ordered vehicle is intended for and which car it will replace, Muto offers two dedicated fields on each asset:

  • Ordered for: links the ordered vehicle to the employee who will receive it. This gives you immediate visibility into which new hires or existing employees are waiting for a vehicle.

  • As replacement of: links the new vehicle to the car it will replace. This relationship is shown in both directions: on the new car you can see which vehicle it replaces, and on the old car you can see which vehicle is replacing it.

Dashboard overview

On the dashboard, you'll also find KPI tiles showing:

  • Active / Ordered counts at a glance

  • Assigned / Unassigned counts for your fleet

This gives you an instant overview of your fleet's current state without needing to dig into the details.
